Plancy Meetings for Zoom

Plancy Meetings records your Zoom meetings, transcribes them and produces a summary with decisions and action items. Here is how to connect the integration, use it and remove it.

Before you start

  • A Plancy Meetings account (provided by your organization's administrator).
  • The Zoom account you host meetings with.

Adding the app

  1. Sign in to Plancy Meetings and open Settings.
  2. In the Zoom section click Connect Zoom.
  3. Zoom shows the list of requested permissions. Click Allow.
  4. You are returned to Plancy, where the Zoom section now shows the connected account.

Recording a meeting

By link. On the Meetings page click Record by link and paste a Zoom meeting link. The bot joins the meeting at its scheduled time.

From a calendar. Connect Google or Yandex Calendar in the same settings screen and turn on automatic recording. The bot then joins meetings that have a Zoom link.

The bot joins as an ordinary participant under a name everyone can see in the participant list. Please make sure participants are aware that the meeting is recorded.

What you get

A few minutes after the meeting ends its page contains:

  • the recording, which you can play back;
  • a transcript split by speaker;
  • a summary: overview, key points and decisions taken;
  • action items with assignees.

The report can be shared by link with people who missed the meeting, or exported as a document.

Removing the app

From Plancy. Settings → Zoom section → Disconnect. The stored refresh token is deleted immediately and the bot stops joining meetings of your account.

From Zoom. Go to marketplace.zoom.us → Manage → Added Apps, find Plancy Meetings and click Remove.

Removing the app does not delete recordings and summaries that already exist — delete them in Plancy on the meeting page.

Troubleshooting

  • The bot did not join. Check that the Zoom account is connected in settings and that the link is not marked with an error. If it is, click "Reconnect".
  • The bot asks the host for recording permission. This happens when Zoom did not issue a local recording token. Approve the request inside the meeting.
