1. General provisions

1.1. This Cookie Policy (the "Policy") is issued by ООО «Архитектурный Портал» (Architectural Portal LLC) (OGRN 1237700594779, INN 9709098730) (the "Operator") and governs the use, storage and management of cookies and similar technologies on the website https://ai.plancy.ru (the "Website") and in the Plancy Meetings service (the "Service").

1.2. The Policy forms part of the Operator's Personal Data Processing Policy and details the provisions concerning automated collection of data by means of cookies and similar technologies.

1.3. The terms used in the Policy correspond to Federal Law No. 152-FZ of 27.07.2006 "On Personal Data" (the "Personal Data Law") and to the basic concepts set out in the Operator's Personal Data Processing Policy.

1.4. The Policy is published in the public domain on the Internet at: plancy.ru/legal/cookies.

2. What are cookies

2.1. User means any person visiting the Website and using the Service.

2.2. Cookies are small text files stored by the browser on the User's device (computer, smartphone, tablet) when the User visits the Website. They enable the Website and the Service to recognise the device and remember certain information, such as information about the User's actions, the User's hardware or visit statistics.

2.3. Along with cookies, similar technologies may be used: browser local storage (localStorage), pixel tags and web beacons. The provisions of the Policy apply to such technologies to the same extent.

3. Purposes of using cookies

3.1. The Operator uses cookies solely for the following purposes:

a) to ensure the operability and security of the Website and the Service;

b) to authenticate the User and maintain the session, including when integrations with video-conferencing platforms (Zoom, Google) are enabled;

c) to store the User's settings (interface language, appearance, display options) and improve usability;

d) to analyse traffic, collect anonymised statistics and optimise the content of the Website and the Service.

3.2. Data collected through cookies is used mainly in anonymised form and is not used to identify a particular User, unless expressly provided otherwise by the Operator's Personal Data Processing Policy.

4. Types of cookies used

4.1. The following categories of cookies may be used on the Website and in the Service:

a) strictly necessary - cookies required for the correct operation of the Website and the Service (session support, security, recording the User's cookie choice). This category cannot be disabled;

b) functional - cookies that store the User's settings and preferences for use in subsequent sessions;

By duration, cookies are divided into session cookies (which exist while the User is on a page and are deleted when the browser is closed) and persistent cookies (which are stored on the User's device and are not deleted when the browser is closed, allowing settings to be retained for future sessions).

6. Legal bases for processing

6.1. Processing of strictly necessary cookies is based on the Operator's legitimate interests (Article 6(1)(7) of the Personal Data Law), since without them the correct operation of the Website and the Service is impossible; for registered Users the processing is also necessary for the performance of a contract (Article 6(1)(5) of the Personal Data Law).

6.2. Processing of functional and analytical cookies is carried out with the User's consent, expressed by accepting the terms of use of cookies (by clicking the "Accept" button in the pop-up banner or by selecting individual categories in the banner settings).

6.3. The User may at any time change their decision in respect of non-essential categories of cookies by adjusting their browser settings or by using consent-management tools, where such tools are implemented on the Website.

6.4. Processing of personal data carried out by means of cookies is governed by the Operator's Personal Data Processing Policy.

7. Managing cookies

7.1. On the first visit to the Website the User is informed about the use of cookies by means of a pop-up banner. Until consent is given (by an active step), non-essential cookies are not loaded.

7.2. The User may refuse the use of cookies or restrict them by changing their browser settings (including in private browsing mode) or by deleting previously stored cookies.

7.3. Disabling cookies may result in the inability to use certain interactive elements of the Website and the Service and reduce usability.

8. Third-party services and data transfer

8.1. The Operator uses web analytics services that may place their own cookies on the User's device: Yandex.Metrica and PostHog. When integrations with video-conferencing platforms (Zoom, Google) are enabled, the relevant platforms may place their own cookies on their domains; the Operator does not control the collection and use of such cookies.

8.2. Data collected by analytical cookies is transferred to such services in anonymised form for statistical processing. Personal data enabling the User to be identified is not transferred without separate consent.

8.3. Cross-border transfer and the places of storage of personal data are governed by the Operator's Personal Data Processing Policy.

8.4. The Operator does not transfer data collected by means of cookies to advertising networks or data brokers and does not use it to display advertising.

9. Retention periods

9.1. The retention period of cookies on the User's device depends on the type of cookie and ranges from the duration of the session (session cookies) to 12 months (persistent cookies). Upon expiry of the established period the cookies are deleted automatically by the browser.

9.2. Personal data processed by means of cookies is retained no longer than required by the purposes of its processing and not longer than the periods established by the Operator's Personal Data Processing Policy.

10. Final provisions

10.1. The Operator may amend the Policy. The new version takes effect from the moment it is published on the Website, unless otherwise provided by that version. In the event of material changes the Operator notifies Users in a manner available through the functionality of the Website.

10.2. Continued use of the Website and the Service after the Policy is amended constitutes acceptance of the amendments, unless fresh or separate consent is required for the new terms.
